AI & Automated Assistance Notice

This notice describes EDUMOVIA’s AI-assisted support features, the strict human oversight applied, and the data minimisation that governs them. The assistant does not make admission or visa decisions and offers no guarantee of any outcome.

What the assistant does
EDUMOVIA includes limited AI-assisted features that help staff draft communications, organise information and speed up routine tasks. These features are a support tool only. They do NOT make admission, visa or eligibility decisions, and they provide NO guarantee of admission, visa approval or any other outcome.
Human oversight
AI-assisted outputs are reviewed by human staff before any decision or communication takes effect. EDUMOVIA does not use these features to carry out automated decision-making that produces legal or similarly significant effects on an individual without human involvement.
Data sent to AI features
We minimise the personal data used by AI-assisted features and, where reasonably possible, apply a personal-data masking step that reduces or removes direct identifiers before content is sent to the AI provider. These features operate under a controlled allowlist enforced by the platform's AI Gateway and are not used to train third-party public models. The AI providers currently used for these functions are OpenAI and Google (Gemini); they are also listed in the Sub-processors register. AI is used only for these support functions and is not used for automated admission, visa or eligibility decisions.
Alignment with platform controls
This notice is aligned with the platform’s AI Gateway, which enforces the same controlled-allowlist behaviour. AI functionality is not widened beyond the approved allowlist without a separate management decision.
Certain items marked [MANAGEMENT INPUT REQUIRED] in the text (supervisory authority contact details, data protection / privacy officer, and jurisdiction-specific legal points) are being finalized by EDUMOVIA management and legal counsel and will be updated in a subsequent revision.
